Enhanced Email Collaboration

We love listening to our customers, and quite a number of you told us that the email collaboration wasn’t flexible enough to let you add a task, file a bug or upload a document. Today, we’re delighted to announce the

enhanced email collaboration
feature which makes things easier for your whole project crew. From now on, you can directly add tasks, file bugs and upload documents in Zoho Projects simply through an email.


Where can you find the email alias for a project ?

Go to your dashboard tab and you will find a list of unique email addresses listed for Tasks, Forums and Documents module. Grab the relevant email address and start shooting tasks from your email. It’s simple. Isn’t it? This is a fun, lively way to add tasks, upload your files, post a forum topic and let the conversation take the lead – brainstorm, negotiate, laugh.

Add Custom Fields for Bugs

In developing the email collaboration feature, we also took the opportunity to include custom fields with greater flexibility for a better way of

tracking bugs
. You’ll now find various options stocked to create custom fields for bugs module. Start creating your own text, numeric and date field – just like the way you wish!

Organize Project Tabs

Nothing can be more frustrating than to see lots of tabs displayed and there is no way to remove the unused ones. We’ve implemented the Organize Tabs option which is very useful when you are using only few tabs for a project. It provides an option to conveniently disable unused tabs and prioritize other tabs according to the way your project works.


Note:

Portal administrator is
the one who can remove tabs for the entire portal while rest of the
users have a privilege to only reorder tabs.

 

Option to change first day of a week

A recent tweet from a Zoho Projects user:

@zohoprojects #zohoprojects should have a customization option to change the first day of the week from sunday to monday. We miss it!

We did it! Go to Settings tab, click on Date/Format Settings and there you’ll find the option to change the first day of a week to Sunday or Monday.

      @infosanigest,

      Currently, option to set reminder for any specific task, in-order to know their status via email, is not available.

      However, you can make use of “Email My Activities” option to get notified about the list of tasks, meetings and milestones, along with their status.

      To enable this option, login to your projects portal, click ‘Settings’ tab and click ‘Email My Activities’ link – under General Profile.

      I would like to know why i can’t seem to put a deadline on tasks/milestones and have zoho tell me in my daily report that this task is overdue.

      Really need to have timebound notification pre and post deadline!

      You can add task notes and add replies to the forum posts by replying to the notification mail, you received upon creating tasks and forum posts.

      Ability to add due dates to tasks directly from the email is not available, as of now. However, we will look into implementing this option and will keep you informed once implemented.

      Client’s names are shown in “Users” section within the project and not in the project name; period is not shown anywhere in the project because duration are provided only for tasks and milestones but not for the project.

      However, as a workaround, you can mention the client name, period (month & year) along with the project name in the project title field – i.e [client name] [project name] [period]

      Moving forward, we will look into implement the option to list projects by clients.

      How about being able to add replies back to notes and related forum posts by email, so users out in the field can fully interact ?

      We have a group of clients (30-40) that we perform the same project for each and every month. The task for the projects are the same for each client and each month. How can we make the project more unique. For example, will the client’s name show anywhere in the project to identify that project to that particular client? I don’t see the clients name in the project. Also, how about being able to label it with a period date, not a due date. I use the due dates and need them, however, I also need to be able to identify the project by a month and year also. Therefore, in summary, how can I add the clients name, a period (month & year) so that these three identifiers show when I’m in the project?

      How do I correct this? I’ve tried contacting support about this but no response perhaps it’s because my e mail has changed and its taking them a while because they have so much to do! I wrote them a few days before my e mail changed.

    12. @david We will incorporate the sub-folders option for documents within next 3 months.

    13. We might be inclined to try Bug Tracker if it wasn’t like TRIPLE the cost of Zoho Projects.
      Bug Tracking could be an interesting feature for us, but not nearly enough to justify the expense. (We’re not developers.)

    14. @kartis We do have it in our calendar. Select “All Meetings” option from the Type drop down menu and this will display all your scheduled meetings with the subject.

    15. How come the calendar just shows meeting instead of saying the subject.

    16. For the Document section, it’s tough to organize due to the fact you can’t make sub-folders.

      @curtis Basically, we’ve designed the unique email alias like this portalname_projectname@task.zohoprojects.com to add a task for a project portal.

      Eg: zillum_erp@tasks.zohoprojects.com

      Hope this helps.

      Please follow the steps below :
      1. Just click the task
      2. At the bottom you can find the unique email alias for this task
      3. Grab it and start posting your notes, attachments from an email

    20. Still it would be great to set the number of items in the project-dropdownlist to a custom value, or increase it to 10-20. If you have a large number of projects and you have to switch between projects often, you have to click on those arrows a lot of times. This can be very frustrating ;-)

      @Curtis: If you simplify the email address anyone can accidentally send email to it. Further more something like tasks@zoho.com would not be unique to your project.

      The name of the email address is complicated because it works sort of as a ‘password’ at the same time. Nobocy can guess what it is therefore it is unique and private to your project.

      good idea with the emails but you need a simple email like
      tasks@zoho.com (as a to or a cc and whomever the to was too it would add a task for them in zoho) that would add a task. This makes it easier when you have an idea and need to shoot off a quick email.

      It’s impossible to remember your zoho task email address which does not make it useful.

    23. would love to be able to attach a file directly to the task notes. we are handling most of our project management directly through the task area, and I’ve wanted to attach a .JPG to my task notes to explain my thoughts more clearly.

      Thanks for your positive comment.

      “Organize Tabs” is available only as part of paid plan. It is available under all the tabs and not specific to bugs tab alone.
