Timesheets

Purpose

Timesheets are basically used for client billing, payroll processing, project tracking and management etc., Zoho People Timesheet enables you to log time and generate timesheets for various recorded jobs. The generated timesheets can be later send for approval, used for Billing purpose and the data can also be used for payroll process.

How to create a timesheet?

A timesheet is a group or summary of time logs. It is generated and send for approval process. Atleast one time log should be available for a job item in order to create a timesheet. A generated timesheet will give you a detailed summary of work items accomplished throughout the project.

  1. Click Time Tracker > Timesheets > Create Timesheet.
  2. Select Timesheet Name, User, Date and Description.
  3. Details like total time log hours, billable hours, rate and amount will be automatically calculated and displayed based on the settings.
  4. After reviewing, you can send the timesheet either for approval or you can can save it as a draft.
  5. To send the timesheet for approval, click Send for Approval and Submit.
  6. To save the timesheet as draft, click Submitwithout clicking the approval check box. Time logs can be edited only if the timesheets are saved in draft and not sent for approval.

Alternatively, you can also create timesheets directly from the Time Logs page as mentioned in the steps below.

  1. Click Time Tracker > Time Logs.
  2. Specify filter criteria.
  3. Filtered time logs will be displayed.
  4. At the end of the list, Total Hours will be displayed. Click on the + icon as shown in the image below.
  5. Create Timesheetwindow will appear on your screen.

How to draft a timesheet?

You can create a timesheet and just save it as a draft without sending it for approval process. While generating, you can determine whether the timesheet should be submitted for approval or just saved as a draft. The drafted timesheet will always be available under 'My Requests' tab. You can any time send the drafted timesheet for approval, if needed.

How do I draft a timesheet.

  1. Click Time Tracker > Time Logs.
  2. Specify filter criteria.
  3. Filtered time logs will be displayed.
  4. Click Create Timesheet.
  5. Provide all the details.
  6. Click Submit to save the timesheet as draft.

What is my timesheets?

My Timesheets lists all your timesheets that you generated and sent for approval, timesheets that you saved as draft, timesheets that are still pending for approval and timesheets that are rejected. The list gives an overview of the user, submitted hours, approved hours and the status of the timesheets.

How do I approve a timesheet?

My Approvals lists all timesheets that are waiting for your approval. The list gives an overview of the user, submitted hours, approved hours and the status of the timesheets.

How do I approve a timesheet

  1. Click Time Tracker > Timesheets > My Approvals.
  2. Click on a timesheet you want to approve.
  3. You will get a complete summary of the timesheet.
  4. If you have a single item, just select the check box and click Approve.
  5. If you have multiple items, select the items that you want to approve and click Approve.
  6. All other unselected items will be automatically rejected.

How do I reject a timesheet

  1. Click Time Tracker > Timesheets > My Approvals.
  2. You will get a complete summary of the timesheet.
  3. Click on a timesheet you want to reject.
  4. You will get a complete summary of the timesheet.
  5. Click Reject All and the timesheet(s) will be rejected at once irrespective of the selected items.
