Import Users

Adding users manually is definitely a tedious process for organizations with large employee numbers. You can avoid this by simply importing users into your Zoho People account from any third party application, Zoho Mail and GApps. Follow these simple steps below and import bulk users in less than a minute.

How do I import users from third party applications into Zoho People?

  1. Log in as Admin.
  2. Go to 'Setup' at the top of the page.
  3. Click 'Users' under 'Users & Permissions'.
  4. Click 'Import'.
  5. Click 'Import User'.
  6. Choose the file to be imported from your computer.
  7. You will be prompted with a form to map the columns with the appropriate fields in the excel file.
  8. Click 'Next'.
  9. Confirm the mapping and click 'Import File'.
  10. Once the import is done, the records will automatically be added and can be viewed in the listing page of the Employee form.

Alternatively, you can also import users as mentioned in the steps below.

  1. Log in as Admin.
  2. Navigate to the 'Organization' tab.
  3. Click on the 'Employee' link.
  4. Click 'More Actions' and then click 'Import data'.
  5. Choose the file to be imported from your computer.
  6. You will be prompted with a form to map the columns with the appropriate fields in the excel file.
  7. Click 'Next'.
  8. Confirm the mapping and click 'Import File'.
  9. Once the import is done, the records will automatically be added and can be viewed in the listing page of the Employee form.

Important points to be noted while importing

  • The form that you are trying to import should be in these 2 formats: Excel and CSV file.
  • Please ensure that all the mandatory fields in the form are filled up properly and is mapped correctly.
  • Please ensure that your file size does not exceed 5 MB
  • In the case of XLS files, only MS Excel 97 - 2003 formats are supported.
  • First row of the given file will be treated as field names.
  • Unexpected errors may occur if the XLS file contains any special controls like combo filters or images embedded within it.
  • Duplicate records will be handled during the Import process, if found.

How do I import non-user?

Non users are users who do not have login access to the Zoho People account. You can import users from third party applications into Zoho People directly as non-users so that they will not be included in the subscription and will not have login access to the Zoho People account. You may later convert them into a normal user(with login access) whenever needed.

  1. Log in as Admin.
  2. Go to 'Setup' at the top of the page.
  3. Click 'Users' under 'Users and Permissions'.
  4. Click 'Import' and then click 'Import Non-User'.
  5. Choose the file to be imported from your computer.
  6. You will be prompted with a form to map the columns with the appropriate fields in the excel file.
  7. Click 'Next'.
  8. Confirm the mapping and click 'Import File'.

How do I import Zoho Mail users?

You can import bulk users from Zoho Mail into Zoho People seamlessly and quickly with just a single click. Follow these simple steps below to do so:

  1. Log in as Admin.
  2. Go to 'Setup' at the top of the page.
  3. Click 'Users' under 'Users and Permissions'.
  4. Click 'Import' and then click 'Import Zoho Mail Users'.
  5. All your Zoho Mail users will be listed here.
  6. Select specific user or all users.
  7. Click 'Import'.
  8. Once done, all your Zoho Mail users will be imported into Zoho People.

How do I import GApps users?

You can import users from GApps into Zoho People by following the steps below.

For GApps Super-Admins

To activate Zoho People from Google Apps, please follow the steps below.

  1. Log in to GApps as Super-Admin.
  2. Go to the 'GApps Marketplace'.
  3. In the Google Apps Marketplace, search for the Zoho People application. Here is the direct link.
  4. Select Zoho People and click 'Add it Now' and enter your Google Apps domain name, if prompted.
  5. In the 'Agree to terms of service page', review the Zoho People terms of service and click 'I agree'. 'Continue'.
  6. In the Grant data access page, review the list of Google data APIs and click Grant data access.
  7. In the 'Enable the app' page, click 'Enable App' now. The Zoho People application will be added to the dashboard and Google universal navigation.

To create a Zoho People account, follow the steps below.

  1. Log in to GApps as Super-Admin.
  2. In the Google Apps Dashboard, or Google universal navigation, click Zoho People application.
  3. You will be directly taken to the Zoho People application page.

Import users from GApps

  1. Log in as Admin.
  2. Go to 'Setup' at the top of the page.
  3. Click 'Users' under 'Users and Permissions'.
  4. Click 'Import'.
  5. Click 'Import GApps Users'.
  6. All your GApps users will be listed here.
  7. Select specific user or all users.
  8. Click 'Import'.
  9. Once done, all your GApps users will be imported into Zoho People.

For GApps Users

To access Zoho People from GApps, please follow the steps below.

  1. Log in to your GApps account.
  2. In the Google Apps Dashboard, or Google universal navigation, click Zoho People application.
  3. You will be directly taken to the Zoho People application page.

To access Zoho People using GApps credentials, please follow the steps below.

  1. Go to https://www.zoho.com/people
  2. Click 'Sign In' at the top right of the page.
  3. Click Sign in using 'Google Apps' icon.
  4. Enter your domain name. For example, zoho.com.
  5. Hit 'Go'.
  6. Type in your GApps User name and Password.
  7. Click 'Sign In'.
