Form Permissions

Security is the the most significant part of any HRMS system. Defining which forms and records users can access is fundamental to an HRMS security. You can define access permission to your users for each form, field and action.

Configure Form-Level Permission

Zoho People allows you to configure permissions for individual form records based on the roles. You can give access permissions to your employees like view, add, edit and delete. Only employees(role-based) who have the specific access permissions will be able to perform add, edit, view & delete operations in a form record.

There are 4 levels of form permissions
  • View – view records of the selected form
  • Edit – edit records of the selected form
  • Delete – delete records of the selected form
  • Create/Add – create records of the selected form

To configure the form level permission, please follow the steps below.

  1. Log in as Admin.
  2. Go to 'Setup' at the top of the page.
  3. Click 'Permissions' under 'Users & Permissions'.
  4. Click 'Form Permissions'.
  5. Choose the form and the role for which the permission is to be set.
  6. Configure View, Edit, Add & Delete record permissions accordingly.

Configure Field-Level Permission

Generally, a form will have multiple fields. In Zoho People, you can even restrict user access to specifc fields in a form record. You can set 'Only View' or 'Both View & Edit' permissions for your employees.

To configure the field level permission, please follow the steps below.

  1. Log in as Admin.
  2. Go to 'Setup' at the top of the page.
  3. Click 'Permissions' under 'Users & Permissions'.
  4. Click 'Form Permissions'.
  5. Choose the intended form and the role.
  6. Click 'Edit' under 'Field Permission'.
  7. Enable 'Only View' (or) 'Both View & Edit' as required.

Configure Action based permission

'Import data', 'Export data' and 'Embed form' are form actions and the Administrator can set permission for the defined roles.

To configure the action based permission, please follow the steps below.

  1. Log in as Admin.
  2. Go to 'Setup' at the top of the page.
  3. Click 'Permissions' under 'Users & Permissions'.
  4. Click 'Form Permissions'.
  5. Choose the intended form and the role.
  6. Click on 'Edit' in the 'Action Permission' column.
  7. Enable the permission for the form actions - Import, Export and Embed Form as required.
