Configuring Leaves
Leave Settings is the place which allows the Admins to configure the various holidays for an Organization, configure the leave types to be used by the employees, set the leave report period & leave units, adjust the leave entitlements either role-based (or) profile-based.
This section also allows the Administrators to generate the leave report of their employees instantly either based on the leave report period or for the custom leave period.
The Day Leave report shows the employee's details who are on leave on the current date.
Configure Holidays
Define the Organizational holidays using the Holiday Form. This form is important because when the employees submit the leave applications, the period of leave will be validated against the holidays configured and the system will exclude the request for leave calculation, if the leave falls on the holiday.
It is possible to configure both the festive holidays and weekend holidays.
To configure the holidays, please follow the below steps :-
- Login as Admin.
- Click on Setup at the top.
- Choose Holidays option from the 'Leave Settings' section.
- Configure the festive holidays by clicking on Holidays link.
- To configure the weekend holidays, click on 'Edit' and mark the holidays.
- Click on 'Save'
Add Leave Types
Add Leave type form can be used to define the various leave types for your Organization. It can also be defined based on accrual rules.
To configure the leave types, please follow the below steps :-
- Login as Admin.
- Click on Setup at the top.
- Choose 'Manage Leave Type' option under the 'Leave Settings' section.
- Click on 'Add Leave Type' link.
- Specify the Leave Type name. (For eg. Annual, Casual etc)
- Mark the 'Consider Date of Joining' field if the leave balances for the employees is based on the the Employee's Date of Joining.
- Mark the 'Is Accrual' field if the leave type is to be accrued.
- Specify the leave days that is to allotted for the leave type.
- Mark 'Can unused leave roll over in the next year' if the leave days from the previous year is to be rolled over to the next year.
- Specify the maximum accumulation days if the leave type is to be rolled over.
- Specify the number of business days after which the new joiner will be eligible to use this leave type.
- Specify the leave type effective date.
- Save the record.
Apply Leave
The leave application form which the employee can use to submit their leave request online. They will have an option to choose the leave types when they submit their record.
To submit a leave application, please follow the steps noted below.
- Navigate to the Leave form listing page.
- Click on 'Add Record'.
- Choose the Employee ID field.
- Choose the required leave type.
- Fill the leave period.
- Specify the reason if applicable.
- Save the record.
Configure Leave Report Settings
Leave Report Settings allows you to specify the following leave settings :-
- Specify the calendar year for which you want to generate leave report.
- Specify leave units. Leave can be specified in days or hours.
- Mark if the holidays configured must be considered for leave calculation.
To configure leave report settings, please follow the below steps noted below :-
- Login as Administrator
- Click on Setup
- Choose 'Leave Report Settings' from the 'Leave Settings' page.
- Specify the required settings.
- Click on 'Update'
Check Your Leave Report
To check your leave report, please follow the below steps :-
- Click on 'Self Service'
- Select the 'Leave Report' option in the sub tab.
Alternatively, you can view the leave report from the leave record :-
- Navigate to leave record listing page.
- Click on 'View Leave Report' option at the right side of the leave record.
The leave report contains the following information :-
- Employee's Information :-
- Employee Name
- Email Id
- Date of Joining
- Leave balance details :-
- Period of leave report
- Leave Type
- Permitted Leave
- Days Taken
- Available Leave
- Leave Period Details :-
- Leave Type taken
- From
- To
- No. of Days Taken
- Reason for Leave
- Approval Status
Generate Employee Leave Report
Administrator can easily generate the leave report of their employees from the Admin setup page.
Please follow the below steps for the same :-
- Login as Administrator
- Click on 'Setup' at the top.
- Choose 'Employee Leave Report' under the 'Leave Settings' section.
- Generate leave report for each of the employees by filling in the employee email id and the leave period to generate the report.
- Click on 'Generate' button to generate the report.
Customize Leave Entitlements
Override the leave types added through 'Leave Type' form, based on roles or for individual employee.
Please follow the below steps for customizing the leave entitlements :-
- Login as Administrator.
- Click on 'Setup' at the top.
- Choose 'Customize Leaves' option from the 'Leave Settings' section.
- To override the leave entitlements based on roles,
- Click on 'Add Role Based Leave'.
- Select the role from the drop down list.
- Click on 'Search'.
- Adjust the leave entitlements as required.
- Click on 'Update'.
- To override the leave entitlements for individual employee,
- Click on 'Add Employee Based Leave'.
- Specify the email Id of the employee.
- Click on 'Search'.
- Adjust the leave entitlements as required.
- Click on 'Update'.
Check Day Leave Report
For Administrator, it is easy to know the employees who are on leave on the current date using the Day Leave Report option.
To check the same, please follow the steps noted here.
- Login as Admin.
- Click on Setup at the top.
- Choose 'Day Leave Report' option under the 'Leave Settings' section.
Check Leave Calendar
The leave application and the holidays configured can now be viewed as a calendar.
To check the leave calendar, please follow the steps noted below :-
- Click on Self Service tab.
- Choose the Leave Calendar option.
This will display the holidays configured for your Organization and your leave applications in the calendar.
