Share A Folder/File As A Link

You can quickly share folders or files as links to individuals or to a group internally or with anyone outside your organization, i.e a non-Zoho user.

Share files with everyone in organization

To share files and folders with everyone in organization

      1. In Zoho Docs, select the file or folder that you want to share.
      2. Click  (Share icon) from the tool bar.
        Share Settings pop-up will appear.
      3. Select one of the options from Visibility drop-down list to change visibility settings.
      4. From the drop-down list, select Everyone in Organization.
      5. Click Save.
      6. Zoho Docs will automatically generate the link for the folder and file.
         
      7. Click Send via Email to send the folder link in an email.
      8. In the Email this Link dialog-box, enter email addresses of organization users in email address text-box.
      9. Click Send Mail.
      10. User will be notified through Email.

Note:

  • By default, the subject of email will be the file name and email message will be the link of the folder or file. You can modify the subject and add personalized message (Maximum 1000 characters) if required.
  • All shared users will have viewer permission. Access privilege of users can be changed to collaborator anytime with More>>Properties>>Share details.
  • Alternatively, you can right click on the folder or file and select Properties from the list.

Share folder/file with anyone (non-Zoho Users)

Zoho Docs helps you protect the confidentiality of your document with its password protect option. Folders and files can be shared with non-zoho users however, they (shared users with password protect) need to sign-up for Zoho Docs to collaborate in real time (based on user access privilege).

To share the folder/file with password protection

      1. In Zoho Docs, select the folder or file that you want to share.
      2. Click  (Share icon) from the tool bar.
        Share Settings pop-up will appear.
      3. Select one of the options from Visibility drop-down list to change visibility settings.
      4. Select Public on the web with password protection from the drop-down list.
      5. Specify password for the folder or file.
      6. Select the Set expiry date check box to specify the folder or file expiry date.
      7. Click Save.
         
      8. Zoho Docs will automatically generate the link for the document.
      9. Click Send via Email to send the folder or file link in an email.
      10. In the Email this Link dialog-box, enter email addresses of users in email address text-box.
      11. Click Send Mail.
      12. User will be notified through Email.

Note:

  • Shared user can access the password protected folder or file only with the password set by you for which, the user has to contact you.

To share the folder/file with public

 

      1. In Zoho Docs, select the folder or file that you want to share.
      2. Click  (Share icon) from the tool bar.
        Share Settings pop-up will appear.
      3. Select one of the options from Visibility drop-down list to change visibility settings.
      4. Select Public on the Web from the drop-down list.
      5. Select the Set expiry date check box to specify the expiry date.
      6. Click Save.
         
      7. Zoho Docs will automatically generate the link for the document.
      8. Click Send via Email to send the folder or file link in an email.
      9. In the Email this Link dialog-box, enter email addresses of users in email address text-box.
      10. Click Send Mail.

Anyone with the link can access the shared folder and file and sign-up for Zoho Docs is not required.
