What is Zoho Sheet?
Zoho Sheet is an online spreadsheet application that lets you create, edit, and share spreadsheets. It can be used to work with large amount of data, functions, formulas, and charts. It is a great online productivity application which businesses find extremely useful for collaboration.
What can I do with Zoho Sheet?
With Zoho Sheet, you can create, manage and share spreadsheets online. You can collaborate with users/group/organization in real time. It comes in handy for business people, accountants, scientists, scholars, students and anyone who deal with tabular data and need to use spreadsheets. Following are some of the salient features of Zoho Sheet,
- Importing/Exporting - Import Excel file or even copy and paste the data and export it to different formats in a breeze.

What is the maximum number of cells that a spreadsheet can have?
Zoho Sheet supports up to 1 million cells for a single spreadsheet, subjecting to a maximum of 65536 rows and 256 columns per sheet.

How do I get the list of all the functions available in Zoho Sheet?
Zoho Sheet supports more than 300 built-in functions. All the functions supported by Zoho Sheet are listed in the Functions Reference page.
Is there an Auto Save in Zoho Sheet?
Yes. We do support Auto Save feature in Zoho Sheet. By default, a spreadsheet that is being edited is auto-saved every 1 minute. Once it is auto-saved, the Save icon is grayed out to indicate that there are no unsaved changes. But as soon as you make some modification in the spreadsheet, the color of the Save icon changes indicating that changes are not yet saved. If you try to close the webpage before it gets auto-saved, you will get a warning to save the unsaved changes.
Is there versioning of spreadsheet in Zoho Sheet?
Versioning of your spreadsheet is in-built in Zoho Sheet. Your spreadsheet is automatically marked and a new version is created whenever you save it after making changes to it. A new version is created even when a collaborator makes changes and saves it. Apart from auto-versioning, you can also manually mark versions for your spreadsheet.
Note*:In Zoho Sheet, only the recent 25 auto-versions are maintained apart from all the manually marked versions.
How do I access Zoho Sheet on an iPhone/iPad?
As of now, you can access http://m.zoho.com/ to view your spreadsheets through an iPhone/iPad. Editing is not yet supported for iPhone/iPad.
What are the supported formats that can be imported into Zoho Sheet?
You can import spreadsheets in one of the below formats:
- .xls (MS Excel 97-2003 Workbook)
- .xlsx (MS Excel Workbook)
- .sxc (OpenOffice Spreadsheet)
- .ods (OpenDocument Spreadsheet)
- .csv (Comma Separated Values)

What is the maximum file size allowed for import?
The maximum file size allowed is 10 MB.
Can protected spreadsheets be imported?
No. You cannot import the password protected spreadsheets. Only unprotected spreadsheets can be imported in Zoho Sheet.
What are the formats to which I can export a spreadsheet?
You can export your spreadsheet into a variety of formats as given below:
- .xls (MS Excel 97-2003 Workbook)
- .xlsx (MS Excel Workbook)

Can I export individual sheets in a spreadsheet?
No. Exporting individual sheets is not supported in Zoho Sheet.
How many spreadsheets can I export (or download) at a time?
You can export upto 10 spreadsheets, at a time.
Is there a filter option in Zoho Sheet?
Currently, we do not support Filter option in Zoho Sheet.
Can I fetch data from an external source periodically?
Yes. In Zoho Sheet you can fetch data periodically from the configured URL and update the spreadsheet automatically. Click the More menu from the toolbar and select the Link External Data option. Provide URL, select the Sheet name in which you want the data to be populated and configure the Schedule to import the data.
Note*: Apart from normal spreadsheets, Zoho Sheet supports fetching data from CSV files, HTML tables, and RSS feeds.
Can I rotate a text vertically in Zoho Sheet?
Rotating text in a cell is currently not supported in Zoho Sheet. However as a workaround, you can make the text to appear vertical by typing one character per line and using Ctrl+Enter or Alt+Enter keys for line break within a cell.
Can I pass an array as function argument?
Yes. Array of constant values can be passed to any function as argument. An array should be framed by enclosing the array values with curly braces like {1, 2, 3}. Comma or Semicolon should be used as column separator and vertical bar | as row separator. For example: {1,2,3 | 4,5,6} or {"a";"b";"c" | "d";"e";"f"}.
I have shared a spreadsheet with a user with read/write permission. Why is the user unable to make any changes in the shared spreadsheet?
When you share a spreadsheet with an unregistered/guest user as Read/Write Member, he/she can only view the spreadsheet by accessing the URL in the email. For editing and saving changes to the spreadsheet, he/she has to sign up and create an account in Zoho with the same email address.
Can I view the changes made by collaborators in real time?
Yes. It is possible to view the changes made by the collaborators in real time. The changes made by the owner and the collaborators in the spreadsheet are immediately viewed by other collaborators and the owner. During collaboration, each collaborator is given a color code. The cells in which collaborators work are displayed in the respective colors and highlighted. When you hover the mouse over those cells, the name of the collaborator is also shown.
Can I be notified whenever shared users modify my spreadsheet?
Yes. It is possible to know instantly when a shared user modifies the spreadsheet. To receive the notification email, click the Share menu from the toolbar and select the Notify me, whenever a shared member modifies this spreadsheet option available at the bottom of the dialog box that gets opened.
How do I see the list of users viewing my spreadsheet that is shared with them?
At the bottom right below the spreadsheet you can see a notification showing the names of those who are currently present/working on the spreadsheet. In the Shared User Status bar, you can see the number of collaborators viewing your spreadsheet.
Can I send an email to all the shared users?
Yes. You can send an email to all the shared users by selecting the Notify Members option from the Share menu. When you use this option, individual emails are sent to each shared user.
Can a shared user send an email to the owner of the spreadsheet?
Yes. Under Share menu, the user can click the Notify Author option and send an email to the owner of the spreadsheet.
Can a shared user send notification to all the other shared users?
No. Shared user cannot send notification to other shared users. He/She can only notify the owner. However, the owner can send notification to all the shared users.
How do I make my spreadsheet public?
To make your spreadsheet public, follow the below steps:
- Click the Publish menu and select the Make Public option from the toolbar.
- Select the required options in the dialog box that opens.
- Click OK.
Note: Once published, anyone can access the URL without signing in to Zoho.
How do I embed my spreadsheet in Website/Blog?
To embed your spreadsheet in website/blog, follow the steps below:
- Click the Publish menu and select the Embed in Website/Blog option from the toolbar.
- Select the required options in the dialog box that opens.
- Click Continue to proceed. Spreadsheet will be made public and a HTML snippet to embed in your Website/Blog will be shown.
- Copy and paste the snippet in the source code of your web page to embed the spreadsheet.
Can I hide and lock the formula cells while publishing a spreadsheet?
Yes. You can hide and lock the formula cells by selecting the Hide and lock formula cells option in the ' Embed to Website/Blog' dialog box while publishing a spreadsheet. Once you select this option, all formula cells will be locked in the published spreadsheet. Users will not be able to view and make any changes to the formula.

Can users make changes to my published spreadsheet?
No. Any changes made by the users will not be saved in the published spreadsheet. By default, the published spreadsheet will be loaded in Read-Only mode. When the users click the Click to Edit button available at the top right corner of the editor, the spreadsheet will switch to interactive(editable) mode. However, changes made by the users will not be saved in the published spreadsheet.

Can I publish a specific range in my spreadsheet?
Yes. It is possible to publish a specific range from a spreadsheet. To publish a range of cells, select the range of cells, click the Publish menu > Publish this Range option from the toolbar. You can also right click on the selected range of cells and select the Publish this Range option from the contextual menu.

No. It is not possible to edit and save the changes directly in the published spreadsheet.

Can I record a macro and play it back?
Yes, you can record a macro and play it back. Follow the steps below to record a macro:
- Click the Macros menu and select the Record Macro option from the toolbar.
- Type the Macro Name and click Start Recording.
- Do the required actions and click Stop Recording.
To play the recorded macro:
- Click the Macros menu and click on the Run Macro option from the toolbar or press the shortcut Alt+F8.
- Select the macro that you want to run.
What are the events supported in Zoho Sheet?

How do I run a macro every time a certain cell changes its value?
You can make use of the Worksheet_Change event. This event is triggered whenever the values are entered/edited by the user or by an external link.
Note: This event will not be triggered when a cell value changes due to recalculation.

Is there any possibility to import/reuse the existing macro from one spreadsheet to another?
No. Currently, it is not possible to import/reuse the macro from one spreadsheet to another in Zoho Sheet. However, you can copy the macro code from the old spreadsheet and paste it in your new spreadsheet.
