Configuring Projects Integration

The first step in using this feature is configuring Projects Integration for Zoho CRM.

Note

  • Only users with Administrative privileges can configure Zoho Projects Integration for their organization's CRM account.
New to Zoho Projects? Existing Zoho Projects Customers?
If you're new to Zoho Projects, follow these steps:
  • Sign up for Zoho Projects and create your portal
  • Provide ZSC Key and the associated email address in CRM
  • Associate the portal to Zoho CRM
  • Configure the portal settings
If you're the Administrator of the Portal in Zoho Projects, follow these steps:
  • Log in to Zoho Projects and generate ZSC key
  • Specify the ZSC Key and the associated email address in Zoho CRM
  • Associate the existing portal to Zoho CRM account
  • Configure the portal settings
If you're not the Administrator of the Portal in Zoho Projects, follow these steps:
  • Get ZSC key from Portal Administrator in Zoho Projects
  • Specify the ZSC Key and the associated email address in Zoho CRM
  • Associate the existing portal to Zoho CRM account
  • Configure the portal settings

Configure Zoho Project Integration for your CRM Account

A Portal, in Zoho Projects, is a central place where all projects can be managed and accessed. They are associated to email IDs of the Portal Owner and only one portal can be associated to an email ID. All the projects created in Zoho Projects are grouped under a single portal. A portal is required to configure the Zoho Projects Integration.

Note

  • Only Zoho CRM users with administrative privileges have the permission to associate portals and configure portal settings.
  • You can associate only one portal to Zoho CRM.
  • All the users with administrative privileges can change the portal anytime. Changing the portal will disassociate the projects from Zoho CRM's Accounts, Contacts and Potentials modules. However, the users can continue to work on the projects from their Zoho Projects account.

Part I - To get ZSC Key

  1. Log in to Zoho CRM with administrative privileges.
  2. Click Setup > Apps & Add-ons > Zoho Apps > Zoho Projects.
  3. In the Zoho Projects page, click Activate Now.


    • If you are new to Zoho Projects, do the following:
      • Sign up for Zoho Projects and create your portal.
      • Generate ZSC Key in Zoho Projects.
    • If you are an existing user in Zoho Projects, do the following:
      • Generate ZSC Key in Zoho Projects.
        OR
      • Get the ZSC Key from the Portal Owner (If you are not the owner of the portal).

Part II - To generate ZSC Key in Zoho Projects

  1. Log in to Zoho Projects as an Administrator.
  2. Click Settings > Company Settings > Zoho Service Communication (ZSC) Key.
  3. Generate the ZSC key.

Part III- To set up Zoho Projects Integration

  1. In the Zoho Projects page, under Set Up Zoho Projects Integration section, do the following:
    • Enter the Zoho Service Communication (ZSC) Key.
    • Enter the Email Address associated to the ZSC Key.
    • Click Next.
    • Choose the Portal under which you want to associate the projects from CRM.
    • Select the Users for whom you want to give access to the projects inside Zoho CRM.
      Only active and confirmed Zoho CRM users will be listed. The owner of the portal will not be listed among the users.
    • Select the check boxes for the respective Profiles to set View, Create, Edit, and Delete permissions to the Portal Users.
  • Click Save.

Note

  • You can change the profile permissions of the users later from the Profiles page.
  • Changing the portal will disassociate the projects from Zoho CRM's Accounts, Contacts and Potentials modules.

Change Projects Portal in Zoho CRM

As an administrator, you can change the portal in Zoho CRM. Changing the portal will disassociate the projects from Zoho CRM's Accounts, Contacts and Potentials modules. However, the users can continue to work on the projects from their Zoho Projects account.

To change projects portal

  1. Log in to Zoho CRM with administrative privileges.
  2. Click Setup > Apps & Add-ons > Zoho Apps > Zoho Projects.
  3. In the Zoho Projects page, click Change.
    Note that if you change the portal, all the existing projects associated to CRM records will not be available.

  4. In the Set Up Zoho Projects Integration section, provide the ZSC Key and the associated Emails Address.
  5. Click Next.
  6. Choose the Portal under which you want to associate the projects from CRM.
  7. Select the Users for whom you want to give access to the projects inside Zoho CRM.
    Only active and confirmed Zoho CRM users will be listed. The owner of the portal will not be listed among the users.
  8. Select the check boxes for the respective Profiles to set View, Create, Edit, and Delete permissions to the Portal Users.
  9. Click Save.

Manage Users and their Permissions

As you change portal, you can also change the portal users and their profile permissions to work with the projects in Zoho CRM.

To change portal users and permissions

  1. Log in to Zoho CRM with administrative privileges.
  2. Click Setup > Apps & Add-ons > Zoho Apps > Zoho Projects.
  3. In the Zoho Projects page, under Portal Settings, click Manage Users and Permissions.
    Note that the Zoho CRM users associated to the portal will be listed.
  4. Select the checkboxes of the Portal Users whom you want in include in the project.
  5. Clear the checkboxes of the Portal Users if you do not want to include them in the project.
  6. Select the corresponding checkboxes of View, Create, Edit and Delete permissions for each user as required.
  7. Click Save.

Deactivate Zoho Projects Integration

As an administrator of Zoho CRM, you can deactivate Zoho Projects from your CRM account.

Note:

  • All portals and projects added to Zoho CRM will be disassociated from your Zoho CRM account. Users can continue to work on the projects from their Zoho Projects account.
  • Any user with administrator privileges can uninstall or change the portal and associate another portal to the Zoho CRM account.

To deactivate Zoho Projects

  1. Log in to Zoho CRM with administrative privileges.
  2. Click Setup > Apps & Add-ons > Zoho Apps > Zoho Projects.
  3. In the Zoho Projects page, click Deactivate Zoho Projects.
