QuickBooks Installation Procedure

Transferring data between Zoho CRM and QuickBooks is possible only through the QuickBooks Web Connector (QBWC). It is an application that works with QuickBooks and acts as a connector to exchange data. If you do not already have the QBWC, you will need to download and install the application first.

Follow the steps below to complete the Zoho CRM for QuickBooks installation:

  1. Install the QuickBooks Web Connector
  2. Select the QuickBooks Company file and download the QWC file
  3. Add Zoho CRM application to the QuickBooks Web Connector

Install QuickBooks Web Connector

If you do not have the QuickBooks Web Connector, you can download it from the following link: http://marketplace.intuit.com/webconnector/

If you are not sure whether you have QuickBooks Web Connector, follow the simple steps given below to check:

  1. Click Start > All Programs.
  2. In the All Programs submenu, check for QuickBooks Web Connector.

Download QuickBooks Web Connector (QWC) file from Zoho CRM

Confirm that you have configured the following browser settings before you download the QuickBooks Web Connector File from Zoho CRM.

Internet Explorer 8 - Browser Settings

To change the browser settings in Internet Explorer 8

  1. Open your IE browser.
  2. Click Tools > Internet Option.
  3. In the Internet Options dialog box, click the Security tab.
  4. Under Security level for this zone section, click Custom level.
  5. In the Security Settings dialog box, enable the "Include local directory path when uploading files to a server" option.
  6. Click OK.

Mozilla Firefox - Browser Settings

To change the browser settings in Firefox

  1. Open your Firefox browser, and enter about:config in the Address field.
  2. Click I'll be careful, I promise.
  3. In the page, right-click and select New > Boolean.

  4. In the New Boolean Value dialog box, enter signed.applets.codebase_principal_support as a new preference name, and then click OK.

Note

  • The Boolean Value should be True.

Download QWC File

The input is the QuickBooks Company file (with.qbw extension) and the output that you get after downloading is the QuickBooks Web Connector file (with.qwc extension)

To download the QWC file from Zoho CRM

  1. Click Setup > Apps & Add-ons > Other Apps > Zoho CRM for QuickBooks.
  2. In the Zoho CRM for QuickBooks page, click Download QWC File.
  3. In the Download QWC File window, click Browse to select the QuickBooks Company File.
    Make sure that you enter the full path of the Company file.
  4. Click Download QWC file.
    A QWC file ( with.qwc extension) will be generated. Save the QWC file in your desktop.
    The QWC file that is generated should then be added in QuickBooks Web Connector using the 'Add Application 'option. See Also Add Zoho CRM Application in QuickBooks Web Connector

Change QWC File

Once you have selected the QuickBooks company file, it can be changed later. Please note that after changing the file path, if you perform data transfer, data of the previous company file will be merged with the selected company file.

To change the QuickBooks Company File

  1. Click Setup > Apps & Add-ons > Other Apps > Zoho CRM for QuickBooks.
  2. In the Zoho CRM for QuickBooks page, click Download QWC File.
  3. In the Download QWC File window, click Change Company File.
  4. Click Browse to select the QuickBooks Company File or enter the full path where the Company File is located.
  5. Click Download QWC file .
    A QWC file ( with.qwc extension) will be generated. Save the QWC file in your desktop.

Add Zoho CRM Application to QuickBooks Web Connector (QBWC)

The QWC file that is generated should be saved on your desktop, and then added in QuickBooks Web Connector using the 'Add Application 'option. Once the file is added in QuickBooks Web Connector, you can run this application to sync data between QuickBooks and Zoho CRM.

To add the Zoho CRM App to the QuickBooks Web Connector

    1. Click Start > Programs > QuickBooks > Menu.
    2. In the QuickBooks Web Connector window, click Add an Application.
    3. In the Select a.QWC file popup window, browse the.qwc file that was downloaded from Zoho CRM, and then click Open.
    4. In the Authorize New Web Service popup window, review the application information, and then click OK to connect QuickBooks with Zoho CRM.
    5. In the QuickBooks – Application Certificate popup window, select Yes, always; allow access even if QuickBooks is not running. It is mandatory.
    6. Click Continue.
    7. In the Access Confirmation window, click Done.
      The application will be added in the QuickBooks Web Connector to transfer data.
    8. Review the status of Zoho CRM - QWC application, select the application's checkbox, and then enter the Auth Token in the Password box.
      You can generate the Auth Token from Setup > Developer Space > CRM API

      Note that you can click Remove if you do not want the application.

    9. After the application is added, you can start transferring data in two modes: Manually and Automatically.

    10. You can change the application preferences or remove the application permission from QuickBooks under Edit > Preferences > Company Preferences > Integrated Application.

Modes of Data Transfer:

There are two modes to transfer data between Zoho CRM and QuickBooks:

  • Manual - With this option you can manually select the application in your Web Connector and perform the data transfer.
  • Automatic - With this option you can set the time intervals in your Web Connector for automatic data transfer. For example, if you set the time interval as 60 minutes, automatically data transfer will be carried out every 60 minutes.
